Business data via integrations: When you connect your business tools to the Motherbird console, we access data from those tools (such as transaction data, customer metrics, review content, and social media analytics) via read-only API connections. We do not collect passwords or login credentials for your third-party accounts.

Usage data: We automatically collect information about how you interact with our website and console, including IP address, browser type, device information, pages visited, and timestamps. We use this information to improve our services.

Communications: Records of emails, messages, and other communications between you and Motherbird.

3. How we use your information

We use your information to:

(a) Provide, maintain, and improve our services, including the free AI review and the Motherbird console.

(b) Generate AI-powered insights and recommendations specific to your business.

(c) Communicate with you about your account, service updates, and support requests.

(d) Send you information about new features or services, where you have opted in to receive marketing communications.

(e) Comply with legal obligations and protect our rights.

(f) Analyse usage patterns to improve our product and user experience.

4. How we access your business data

Your Motherbird console connects to your business tools through read-only API access. This means:

(a) We can view and analyse your data to generate insights.

(b) We cannot modify, delete, or export data from your connected systems.

(c) We do not store raw copies of your transaction-level data. We process it to generate aggregated insights and metrics which are stored in your console.

(d) You can disconnect any data source at any time. When you disconnect a source, we stop accessing it within 24 hours and remove associated data from our systems within 30 days.

5. Data storage and security

Your data is processed and stored on servers located in the Asia-Pacific region. We implement appropriate technical and organisational measures to protect your information, including:

(a) Encryption of data in transit (TLS/SSL) and at rest.

(b) Access controls limiting who within Motherbird can view your data.

(c) Read-only connections to your business tools, we never have write access to your systems.

(d) Regular review of security practices.

While we take reasonable steps to protect your information, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

6. Sharing your information

We do not sell, rent, or trade your personal information or business data. We may share your information with:

(a) Service providers: Third-party services that help us deliver our product (such as cloud hosting providers, AI model providers, and payment processors). These providers are contractually bound to protect your data and may only use it for the purposes we specify.

(b) Legal requirements: If required by law, regulation, legal process, or governmental request.

(c) Business transfers: In connection with a merger, acquisition, or sale of assets, with appropriate confidentiality protections.

We will never use your business data to train AI models for other customers or any third party. Your data exists solely to power your Motherbird.

7. AI and data processing

Our service uses artificial intelligence (including third-party AI models) to process your business data and generate insights. When we send data to AI model providers for processing:

(a) Only the minimum data necessary is transmitted.

(b) Data is encrypted in transit.

(c) We use enterprise-tier AI services that do not use customer data for model training.

(d) AI-generated outputs are stored in your console and are only accessible to you and authorised Motherbird staff.

8. Cookies and tracking

Our website uses essential cookies to enable core functionality (such as session management). We do not currently use advertising cookies or third-party tracking pixels. If we introduce analytics or marketing cookies in the future, we will update this policy and provide you with the ability to manage your preferences.

9. Your rights

Under the Australian Privacy Act, you have the right to:

(a) Access the personal information we hold about you.

(b) Correct any inaccurate or incomplete information.

(c) Request deletion of your personal information, subject to any legal obligations we may have to retain certain records.

(d) Opt out of marketing communications at any time by contacting us or using the unsubscribe link in our emails.

(e) Disconnect any data source from the Motherbird console at any time.

(f) Complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au if you believe we have breached the APPs.

10. Data retention

We retain your personal information and business data for as long as your account is active or as needed to provide services. Upon cancellation of your service: (a) we disconnect all data integrations within 24 hours; (b) we delete your business data from our systems within 30 days; (c) we may retain basic account information (name, email, billing records) for up to 7 years to comply with Australian tax and business record-keeping obligations.

11. Children

Our services are designed for businesses and are not directed at individuals under 18 years of age. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated to active clients via email. The "Last updated" date at the top of this page reflects the most recent revision. We encourage you to review this policy periodically.
